Q. Why does the LANL Badge Office no longer provide Laboratory ID cards?

My Employee Information System (EIS) record has an error or is missing critical information.æ How can it be fixed?

A.

The LANL Badging System relies heavily on accurate and complete information in your EIS Record.æ Missing or erroneous information can cause you to be badged incorrectly or prevent your being badged at all, so it must be corrected prior to badging. Q. My badge was working fine yesterday, but does not today? How can I find out what happened?
A. The badging system is interconnected with many other systems. Various "business rules" are in place to ensure that certain Laboratory and DOE security and business practices are adhered to. A change in your status relating to one of these factors could cause your badge to be permanently or temporarily inactivated. Q. I would like my nickname printed on my badge - what do I have to do?
A. If you have a Token Card you can update certain parts of your own Employee Information System (EIS) record, including your nickname. EIS can be updated on the IB system or via the Web at http://eiprod.lanl.gov/ . Once EIS is updated with your nickname (the information batches overnight so will not display until the next day) your nickname becomes one of the name options you can choose for printing on your badge. If you select the nickname option, only the nickname (plus your last name) appears on the badge - there is no option for showing a first or middle name plus your nickname on the badge. Incidentally, your nickname will also appear in the Laboratory's online directory (i.e., phone book) so that others can search for you by your nickname. If you do not have a Token Card your Group Office should be able to add your nickname to your EIS record. Q. When and how am I supposed to wear my badge and when am I not supposed to?
A. Basically, you are required to wear your badge whenever you are on Laboratory property (including leased facilities in the town of Los Alamos and White Rock). Why do I have problems with my badge in access control readers?

A.

With the implementation of a re-engineered badging system in September 1999, there are many reasons why one's badge may now automatically stop being valid in the Laboratory's badge readers.

To obtain an overview of the most important reasons why your badge may stop working, consult the Troubleshooting Tips posted near the reader at every security area access post. If you suspect that your access status may have changed, you may check it on the Web if you have a Token Card. Finally, you should review the Troubleshooting Checklist for a complete run down of all potential problems, including many not related to a change in your access status.

Q.

How do I obtain supplies of badge clips, lanyards, and other accessories if the Badge Office no longer provides them in bulk?
A.

Prior to May 1998, when bulk supplies and accessories were given out by the Badge Office to anyone at no charge, the volume dispensed was very great, because some customers helped themselves to huge quantities. While no item, taken singly, was expensive, at the level of tens of thousands annually, the cost added up, and as with anything given away free, there was a certain amount of carelessness. Furthermore, to keep costs down, the Badge Office only offers the least expensive stock, since its budget is primarily dedicated to covering staff salaries.

In May 1998, bulk ordering of badge supplies and accessories became an option for individuals and Groups through a Laboratory JIT (Just-in-Time) arrangement. This allows ordering to be done over the Web. Groups can also add new stock items they want for their employees, something the Badge Office is not in a position to do. This provides a way to obtain higher quality products.

The Badge Office continues to provide badgeholders with basic supplies (one to a customer) on an as needed basis. However, it is usually more convenient for badgeholders to obtain replacements directly from their Group than to make a trip to the Badge Office. The JIT approach for badge supplies and accessories is consistent with how most other Laboratory supplies are obtained.back to the top of the page

Q. What do I do if my badge becomes lost or stolen?
A. As soon as you become positively aware that your badge is lost or stolen, report it in person to the Badge Office. Depending on the situation, you may have to report this to one or more other Laboratory organizations. Review the complete procedures. back to the top of the page

Q.

Why doesn't the LANL Badge Office issue Laboratory ID cards?

A.

Before June 1997, the Badge Office issued laminated picture Laboratory ID cards. At that time, the card stock used in the previous badging system became depleted and the original supplier was no longer available. The Badge Office reviewed the concept of issuing Lab ID cards and benchmarked with other DOE sites. As a result it decided to discontinue the program, since it was determined to be a duplication of the the Badge Office's core responsibility - issuing security badges.
